Setting up incoming clients, and closing files

Law Society Professional Training is organising a lunchtime webinar for legal-support professionals on taking on new clients and closing files. 

The event is part of a series that covers several different topics relevant to the day-to-day work of legal executives, paralegals, office managers, and bookkeepers. 

The Zoom webinar, ‘Client Onboarding and Offboarding in Legal Practice’, takes place on Tuesday 28 April (1pm-2.30pm).

It will give participants an overview of the regulatory requirements and best practice when taking on new clients and when closing files. 

Keeping files in good order 

The webinar will provide a user-friendly guide to keeping files in good order during the lifecycle of a client matter, minimising scope for issues at inspection. 

Topics linked to taking on new clients include: 

  • Letters of engagement and terms and conditions, 
  • Anti-money-laundering documentation, 
  • Section 150 compliance, and 
  • Banking arrangements. 

Topics related to closing files include: 

  • Finalising outstanding work, 
  • Dealing with undertakings, 
  • Providing a statement of account, 
  • Addressing balances on a client account, 
  • Issuing a bill of costs and payment direction, and 
  • Data protection and file retention. 

The speaker will be David Mulvihill, a solicitor in the Law Society’s Regulation Department who manages the Practice Closures section, which deals primarily with distressed practice closures.  

David Mulvihill is also secretary of the Law Society’s Guidance and Ethics Committee.
